12 appointment reminder and confirmation message templates for WhatsApp

A good reminder is short, friendly, and tells the customer exactly what to do if plans have changed. These twelve templates cover the messages a service business sends most often. Replace the parts in square brackets, save the ones you use as WhatsApp quick replies, and stop rewriting the same message every day.

Confirmation, sent when the booking is made

English: "Hi [Name], your [service] with [staff] is confirmed for [day, date] at [time]. We are at [short address]. If you need to change it, use this link: [manage link]. See you soon!"

Bahasa Melayu: "Hai [Nama], tempahan [servis] anda bersama [staf] telah disahkan pada [hari, tarikh] jam [masa]. Kami di [alamat ringkas]. Kalau perlu tukar masa, guna link ini: [link urus tempahan]. Jumpa nanti!"

If you use an online booking system, this one is sent for you by email the moment the booking lands. The WhatsApp version is for bookings you take by phone or in person.

Reminder, the day before

English: "Hi [Name], a quick reminder of your [service] tomorrow, [day] at [time]. Reply YES to confirm, or tap here to reschedule: [manage link]. Thank you!"

Bahasa Melayu: "Hai [Nama], peringatan mesra: [servis] anda esok, [hari] jam [masa]. Balas YA untuk sahkan, atau tekan sini untuk tukar masa: [link urus tempahan]. Terima kasih!"

Send it between 5pm and 8pm the evening before. Earlier and people forget again; later and it feels like nagging. Asking for a one-word reply is the most effective no-show reducer in this whole list.

Reminder, two hours before

English: "See you at [time] today, [Name]! Parking is easiest at [tip]. If you are running late, just let us know."

Bahasa Melayu: "Jumpa jam [masa] hari ini, [Nama]! Parking paling senang di [tip]. Kalau lambat sikit, bagitahu kami ya."

Only worth sending for long appointments, or when the customer has not replied to the day-before reminder.

Late arrival and no-show

Running late, English: "Hi [Name], we have your [time] slot ready. Are you on your way? We can hold it until [time + 10 min], after that we may need to shorten the service or find you another time."

Running late, Bahasa Melayu: "Hai [Nama], slot [masa] anda dah sedia. Dah dalam perjalanan ke? Kami boleh tunggu sampai [masa + 10 min], lepas tu mungkin servis perlu dipendekkan atau kita cari masa lain."

After a no-show, English: "Hi [Name], we missed you today at [time]. No worries, things happen. When you are ready, you can pick a new time here: [booking link]."

After a no-show, Bahasa Melayu: "Hai [Nama], kami rindukan anda tadi jam [masa]. Tak apa, perkara biasa. Bila dah sedia, boleh pilih masa baru di sini: [link tempahan]."

Notice the tone. The no-show message is warm on purpose: a customer who feels told off does not come back, and you want the booking, not the apology. Record the no-show privately against their customer record instead.

Re-booking and reactivation

Re-book at checkout, English: "Thanks for coming in today, [Name]! Your next [service] is usually due in about [weeks] weeks. Book it now while your favourite time is free: [booking link]."

Re-book at checkout, Bahasa Melayu: "Terima kasih datang hari ini, [Nama]! [Servis] seterusnya biasanya dalam [minggu] minggu lagi. Tempah sekarang selagi masa kegemaran anda masih kosong: [link tempahan]."

Long time no see, English: "Hi [Name], it has been a while! We have some new slots open this month. Pick a time that suits you: [booking link]."

Long time no see, Bahasa Melayu: "Hai [Nama], dah lama tak jumpa! Bulan ni ada slot baru dibuka. Pilih masa yang sesuai: [link tempahan]."

Three rules that make every template work better

  • One message, one action. A reminder asks for a reply. A no-show message offers a link. Never both
  • Always include a link the customer can act on themselves. Making them reply to negotiate a time is how you end up back in the inbox all evening
  • Use the customer’s name and the service name. "Your appointment" reads like a template. "Your keratin treatment with Mira" reads like a person

Automate the ones you can

Confirmations and cancellations should never be typed by hand: an online booking system sends them the moment something changes, including a link the customer uses to reschedule or cancel without asking you.
